Then, this project can contain various <strong>epics<\/strong>, representing big bulks of work or high-level tasks. Inside each epic, you can add multiple smaller <strong>issues<\/strong>, or individual tasks. It\u2019s also possible to create various issues directly in the project, skipping the epic level.<\/p>\n\n\n\n<p>Apart from this, you will need to set up a <strong>workflow<\/strong>, which is a sequence of stages each issue should go through. The last step is configuring a Jira <strong>board<\/strong>, which visually represents all your issues.<\/p>\n\n\n\n<p>Now, let\u2019s examine these main elements in more detail to better understand the configuration process.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The Key Jira Concepts Crucial For Jira Setup<\/h2>\n\n\n\n<ul class=\"wp-block-list large-list\">\n<li class=\"large list\"><strong>Project: <\/strong>This is a space where you work with issues (tasks) united by a common theme. Jira allows you to have multiple projects. For example, if a company has several products and a separate team working on each one, it makes sense to organize their tasks in separate projects with different settings.<\/li>\n\n\n\n<li><strong>Epic:<\/strong> This is a major task with a specific goal, consisting of many smaller tasks. Epics are widely used by agile and DevOps teams and are important for organizing work within a project. An example of an epic is \u201cMigrating to the Cloud,\u201d and individual issues within this epic would be \u201cPrepare a migration strategy,\u201d \u201cConfigure the cloud environment,\u201d and so on.<\/li>\n\n\n\n<li><strong>Issue:<\/strong> Individual work items, or simply things to be done, are called issues. Most commonly, an issue is a smaller task within a broader collection of tasks (epic). As teams use Jira for different purposes, an issue can also be a bug, a helpdesk ticket, a travel request form, or a story, which is a task formulated from the user&#8217;s perspective.<\/li>\n\n\n\n<li><strong>Workflow:<\/strong> This is a sequence of stages describing the lifecycle of an issue. For example, after an issue is created, it can be \u201cIn progress,\u201d \u201cUnder review,\u201d \u201cIn testing,\u201d and \u201cCompleted.\u201d Teams can set up custom workflows that reflect their processes and allow them to track the status of each issue.<\/li>\n\n\n\n<li><strong>Board:<\/strong> A Jira board is a visual representation of your tasks. It shows them as cards placed into columns, each column corresponding to a specific workflow stage. A Jira board can be used as a planning tool, an instrument for task management, and an organizer for daily work.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Which Jira Plan To Choose?<\/h2>\n\n\n\n<p>Jira offers several tiers of <a href=\"https:\/\/www.atlassian.com\/software\/jira\/pricing\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">pricing<\/a>. Maintaining such projects is more straightforward, and the functionality is slightly reduced compared to company-managed projects. The configuration of a team-managed project does not affect other projects\u2019 settings. Choose this option if your team is smaller than 10 people.<\/li>\n\n\n\n<li><strong>Company-managed projects<\/strong> are a good fit for companies or teams that work on several projects, especially if this requires cross-project collaboration. Company-managed projects allow you to share configuration across multiple projects (optional). As a result, you can effectively standardize processes and update workflows in all places simultaneously. Once you make changes to one project, you can apply them to other company-managed projects automatically. Select this option for a bigger team or several teams.<\/li>\n<\/ul>\n\n\n\n<p><strong>What Jira project type do you need?<\/strong><\/p>\n\n\n\n<p>Currently, Jira has four main project types, each with a set of special features. They serve as a basis for project templates adapted for different cases and industries.&nbsp;<\/p>\n\n\n\n<p>These four types are:<\/p>\n\n\n\n<ul class=\"wp-block-list large-list\">\n<li><strong>Software development:<\/strong> As the name implies, this project type is tailored to the needs of software development teams. It allows them to organize work cycles into sprints, plan and manage tasks with agile boards, track bugs, and more.<\/li>\n\n\n\n<li><strong>Service management:<\/strong> This project type is designed for teams that work with various incoming requests. For example, customer requests, applications, maintenance requests, and different service requests. Service management projects provide a platform for collecting, tracking, and processing such requests.<\/li>\n\n\n\n<li><strong>Work management:<\/strong> Includes basic Jira functionality and is well-suited for project management or organizing work processes. It enables you to plan and manage various activities, in particular, working with them in a list view, timeline view, or calendar view.<\/li>\n\n\n\n<li><strong>Product discovery:<\/strong> This one is designed to help product teams organize the work that precedes software development. It allows you to gather customer insights, validate and prioritize ideas, create tailored roadmaps, and present them to stakeholders.<\/li>\n<\/ul>\n\n\n\n<p><\/p>\n\n\n\n<p class=\"large-list\">However, Atlassian has plans to combine Software development and Work management into one project type, called Jira. It will receive the most useful features from both project types and is announced to be a tool suitable for all teams, regardless of their industry and goals.\u00a0<\/p>\n<\/div><\/div>\n\n\n\n<p><strong>What Jira project template to choose?<\/strong><\/p>\n\n\n\n<p>Jira offers many project templates adapted for different industries and purposes. However, as I mentioned, they are all built upon the four project types we\u2019ve explored above. Understanding this will help you make the right choice.&nbsp;<\/p>\n\n\n\n<p>Each template includes pre-defined issue types, pre-configured workflows with tailored statuses, a pre-set Jira board and views, custom fields and forms for request submissions, and built-in reports and dashboards.<\/p>\n\n\n\n<p>Here are some of the most popular project templates grouped by category:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Software development:<\/strong> Kanban, Scrum, Bug tracking template<\/li>\n\n\n\n<li><strong>Marketing:<\/strong> Marketing service management, Project management, Go-to-market<\/li>\n\n\n\n<li><strong>Sales<\/strong>: Sales service management, Sales pipeline, Lead tracking template<\/li>\n\n\n\n<li><strong>Finance<\/strong>: Budget creation, Month-end close, Finance service management<\/li>\n\n\n\n<li><strong>Legal:<\/strong> Document approval, Legal service management, IP infringement<\/li>\n\n\n\n<li><strong>Pet project:<\/strong> Project managing, Task tracking, Personal task planner<\/li>\n<\/ul>\n\n\n\n<p>There\u2019s also an option to choose a blank project and configure it from scratch.<\/p>\n\n\n\n<p><strong>Where to set up a Jira project?<\/strong><\/p>\n\n\n\n<p>In your Jira instance, go to <strong>Projects -&gt; Create Project<\/strong>. Choose your project template or a blank project, and select either the team-managed or company-managed type. Name your project and finish the creation process. Now, you can add your first issue to your new project.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Create a Jira Issue and Add Users<\/h3>\n\n\n\n<p>Before you fill your project with issues, you need to understand the hierarchy of issues in Jira. By default, there are three tiers:<\/p>\n\n\n\n<ul class=\"wp-block-list large-list\">\n<li><strong>Epic issue:<\/strong> A high-level task that includes multiple smaller issues<\/li>\n\n\n\n<li><strong>Standard issue:<\/strong> An individual task that can be a part of an epic. Apart from a task, it can also be a bug, a story, or any custom issue type defined by the user.<\/li>\n\n\n\n<li><strong>Subtask issue:<\/strong> Smaller chunk of work that is a part of an issue<\/li>\n<\/ul>\n\n\n\n<p>To add your first issue, open your project and press the <strong>Create<\/strong> button in the top menu.&nbsp;<\/p>\n\n\n\n<p>Then, you will need to fill out the details. Some fields are mandatory: Project, Issue Type, Summary, and Reporter.<\/p>\n\n\n\n<p>Other fields are optional: for example, Description, Status, Due date, Assignee, Attachment, and Priority.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"766\" src=\"https:\/\/titanapps.io\/blog\/wp-content\/uploads\/2025\/02\/1.-Jira-set-up-guide-Create-a-Jira-issue-1024x766.png\" alt=\"1. To do this, click the three dots in the upper right corner of the issue creation page and select <strong>Configure fields<\/strong>. Jira also allows you to configure custom fields if needed.&nbsp;<\/p>\n\n\n\n<p>Another important step is adding users:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list large-list\">\n<li>If you have a team-managed project, click <strong>Project Settings -> Access -> Add People<\/strong>. You will be able to add your team by providing their email addresses. Alternatively, contacts can be imported from Gmail, Slack, or Microsoft account. With a paid plan, you can assign users different roles and customize their access rights. For a company-managed project, select <strong>Project Settings -> People -> Add People.<\/strong><\/li>\n\n\n\n<li>Once this is done, you can add assignees and reporters to the task and mention people in task descriptions and comments. Your teammates will receive email notifications about any activity related to them.\u00a0<\/li>\n\n\n\n<li>Apart from that, people can be added to an issue as watchers. In this case, they will receive notifications about any events related to this issue, even if they are not mentioned directly, such as status changes or edits in the description. To add watchers, click the eye icon on the issue page.\u00a0<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Set up a Workflow&nbsp;<\/h3>\n\n\n\n<p>As we have already mentioned, a Jira workflow is a standard process your tasks should go through. These processes can differ depending on how your organization and team manage their work. A typical workflow includes stages such as \u201cTo do\u201d or \u201cBacklog,\u201d \u201cIn progress,\u201d \u201cUnder review\u201d or \u201cIn Testing,\u201d and \u201cCompleted.\u201d<\/p>\n\n\n\n<p>Once you create your first project and task, you will have a simple workflow out of the box. This can be used as a basis for further modification unless you want to build a new workflow from scratch.&nbsp;<\/p>\n\n\n\n<p>Each workflow consists of:<\/p>\n\n\n\n<ul class=\"wp-block-list large-list\">\n<li><strong>Statuses:<\/strong> These are stages through which your issue goes step-by-step, from creation to completion.<\/li>\n\n\n\n<li><strong>Transitions:<\/strong> Actions that should take place in order to move an issue from one status to another. For example, the transition between the \u201cTo Do\u201d and \u201cIn progress\u201d statuses can be \u201cstart work.\u201d<\/li>\n<\/ul>\n\n\n\n<p>Before setting up a workflow, it\u2019s necessary to map out the process and discuss it with your team. Once you know what the main phases and transitions should be, you can configure your first workflow.&nbsp;<\/p>\n\n\n\n<p>Here\u2019s an example of a workflow for the Email campaign launch process:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"766\" src=\"https:\/\/titanapps.io\/blog\/wp-content\/uploads\/2025\/02\/2.-Jira-set-up-guide-Workflow-example-1024x766.png\" alt=\"2. The \u201cAny\u201d label next to a phase means that it\u2019s allowed to transition to any stage after that phase. Depending on the process, you can limit the permitted transitions. For example, prevent transferring an issue to the \u201cApproved\u201d stage unless the \u201cIn review\u201d stage was completed, and so on.<\/p>\n\n\n\n<p>The workflow statuses are important for correctly visualizing your issues on the Jira board. You can configure the board to reflect the workflow stages, which makes task management easier.<\/p>\n\n\n\n<p>Here\u2019s how to add a workflow:<\/p>\n\n\n\n<ul class=\"wp-block-list large-list\">\n<li>In your Jira project, go to the Project Settings and select <strong>Issues -> Workflows -> Add Workflow -> Create new<\/strong>. In the workflow editor, add the necessary statuses and connect them with arrows to create a step-by-step flow. You will need to name the transitions between the statuses to do that.<\/li>\n\n\n\n<li>Assign your workflow to the workflow scheme. Go to <strong>Settings -> Issues -> Workflow schemes<\/strong>. Find your new workflow under the Inactive tab. Select <strong>Edit -> Assign<\/strong>. Select the issue types you want to apply your workflow to. For example, epic, task, and subtask. It\u2019s also possible to add a workflow to all issue types.<\/li>\n\n\n\n<li>Finally, associate a workflow with the project to apply it to the specified issue types within that project. Go to <strong>Settings -> Issue -> Issue type schemes<\/strong>, then click the three dots in front of the scheme you need, click Associate, and select your project.<\/li>\n<\/ul>\n\n\n\n<p>After this, you can create test issues and check if everything works as intended.<\/p>\n\n\n\n<p>If you need to make simple changes to your workflow (such as adding one more stage), this can be done directly from your Jira board. Adding a new column to the board will automatically create a new status in your workflow.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Configure Your Jira Board<\/h3>\n\n\n\n<p>In software development, agile boards are an important instrument for managing issues, planning work, and collaboration. By default, each Jira project has a preset board, which you can customize later.<\/p>\n\n\n\n<p>If you have a relatively simple workflow, its stages can be exactly reflected in your board, with each column corresponding to a specific step. However, the situation is different for more complex workflows. For example, you can assign several statuses to one column or decide to hide tickets with certain statuses.<\/p>\n\n\n\n<p>When setting up a new board, you are offered to choose from the two main types:<\/p>\n\n\n\n<ul class=\"wp-block-list large-list\">\n<li><strong>Scrum board:<\/strong> For teams that organize their work as a series of fixed-length sprints. Issues are only displayed for the current sprint; the rest of the tasks are accumulated in a separate backlog.<\/li>\n\n\n\n<li><strong>Kanban board:<\/strong> For teams that organize their work as a continuous flow. A kanban board visually presents the work to be done. It can also limit the allowed number of issues in progress, which helps you identify bottlenecks.<\/li>\n<\/ul>\n\n\n\n<p>To customize your Jira board, open it and click the three dots in the upper right corner. Then, select <strong>Configure board<\/strong>. In particular, you can:<\/p>\n\n\n\n<ul class=\"wp-block-list large-list\">\n<li><strong>Configure columns<\/strong>: Add and rename columns, rearrange their order, and hide unneeded statuses from the board. You can also assign multiple statuses (stages) to a column for a more focused view.<\/li>\n\n\n\n<li><strong>Add custom filters:<\/strong> Create a set of reusable filters to quickly search your issues and display focused results. To do this, you will need to write queries using JQL (<a href=\"https:\/\/support.atlassian.com\/jira-service-management-cloud\/docs\/what-is-advanced-search-in-jira-cloud\/\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">Jira Query Language<\/a>).\u00a0<\/li>\n\n\n\n<li><strong>Use swimlanes:<\/strong> Organize tasks on the board horizontally by grouping them according to various criteria. For example, cards for tasks with the same assignee will be shown together.\u00a0<\/li>\n<\/ul>\n\n\n\n<p>It\u2019s also possible to add several boards to one project. This is useful when several teams are working on different aspects of a project. Another possible use case is when there are multiple workstreams within one project.<\/p>\n\n\n\n<p>Teams working on several projects in parallel can set up cross-project boards. Such a board can display issues from multiple projects at once. This can also be useful for leaders overviewing the work of several teams.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Install Additional Apps To Optimize Your Workflow<\/h3>\n\n\n\n<p>Once you\u2019ve set up all the basic components, the next logical step for Jira setup is to expand the functionality with external applications.
